Senior Service Administrator Job Description

A senior administrator role is available in a dynamic organization, providing administrative support to a team and contributing to the delivery of an efficient and effective front-of-house service.

Key Responsibilities

  • Provide a first point of contact for young people and their families, answering phone calls and dealing with queries
  • Provision of information to young people and their families, ensuring confidentiality
  • Promote the vision, values, and mission of Jigsaw
  • Open, record, and process post in line with Jigsaw policy
  • Keep accurate records and systems in relation to all aspects of work
  • Participate in team meetings and forums
  • Provide daily administration oversight and support to the team
  • Oversee the service administrator's teamwork plan and report on progress
  • Coordinate purchasing and delivery of office supplies and stationery
  • Work in accordance with Jigsaw policies and procedures

Requirements

  • Minimum three years' experience in office administration, preferably in a front-of-house position
  • Minimum one year's experience in line management
  • Excellent communication and interpersonal skills
  • Ability to work independently and as part of a team
  • Proficient in MS Office, Office 365, Excel, Microsoft Teams, Zoom, and Share Point
  • Strong organizational and planning skills

Desirable Criteria

  • Experience working in human services, health services, or charity sector
  • Relevant degree or administrative qualification (FETAC level 5 or above)
  • Experience designing and implementing complex scheduling systems
  • Experience in data management and reporting
