Administrative Support Coordinator sought to join a leading provider of private health services in Cork. The role will focus on enhancing operations and supporting a team of clinical staff. A key position in the clinic's administrative team, the Administrative Support Coordinator will be responsible for providing exceptional support and ensuring the smooth operation of appointment scheduling and patient record management. Key Responsibilities: • Collaborate with the team to handle various administrative duties, including managing appointments and generating reports. • Address client inquiries promptly and direct them to appropriate resources. • Manage multiple systems for scheduling, confirming, and rescheduling appointments across all clinics. • Regularly update and maintain patient records. • Deliver outstanding customer service, ensuring clients have a positive experience during their visits. • Prepare necessary documentation for patients upon their arrival at the clinic. • Maintain databases to track appointments and follow-up activities. • Compile reports on clinic activity within agreed timelines and conduct follow-ups as necessary. • Monitor and respond to emails in a timely manner. • Provide administrative support to clinical staff as needed. • Manage the reception area and handle phone inquiries effectively. Candidate Profile: • Minimum 3 years of experience in a similar administrative support role. • Positive, can-do attitude with strong team collaboration skills. • Excellent interpersonal abilities with a talent for building rapport quickly. • Strong time management and organisational skills, with the ability to prioritise effectively. • Ability to maintain professionalism and confidentiality under pressure. • Proficient in MS Office (Word, Excel, Outlook). • Highly organised with a proven ability to multitask.
