Job Description

My client is currently seeking a Construction Support Administrator to join their busy construction company in Carlow. Key Responsibilities & Duties: Co-ordinate and manage the MDs work schedule, including appointments, meetings, and events. Schedule, organise, and prepare materials for business meetings. Attend meetings as necessary, take notes, and ensure follow-up actions are completed. Draft, edit, and proofread documents, presentations, and proposals for the MD when required Ensure timely reminders and preparation of materials for meetings and engagements. Management of inboxes. Devise and maintain office systems, including Boardroom and Video Conferencing facilities, meeting rooms, data management and filing. Management and prioritizing of daily/weekly to do lists. Maintain confidentiality and handle sensitive information with discretion. Supporting and working with the wider team as and when required. Assist in various business projects, ensuring deadlines are met and objectives are achieved. Meeting and greeting visitors. Ad hoc duties as they arise. Essential Skills: Advanced IT skills (Microsoft Word, Excel, and PowerPoint Experience of diary management including arranging meetings, ensuring all appropriate documentation is available for those meetings. Proven track record of working in a busy pressurised environment. Able to write clear and accurate correspondence, minutes and papers. Strong analytical skills. Able to evaluate and interpret information to form judgments and make recommendations for action. Qualifications and experience required; Minimum of 5 years' experience working as a Personal Assistant Ability to communicate at all levels. Very strong organisational skills. Proactive in task management and use of initiative. Able to work unsupervised on own initiative with the ability to prioritise, multi-task and deliver competing tasks under tight deadlines. Ability to maintain confidentiality and exercise discretion. Skills: Microsoft Suite Confidentiality Flexibility organised and detail focused.
