Medical Secretary role in Loais, requiring administrative and secretarial skills, with a focus on office management and dictaphone typing.
This is a Grade IV role, with a 35-hour working week, Monday to Friday, and an hourly rate of €18.48.
The successful candidate will be required to be Garda Vetted and provide FPC if necessary.
This is a temporary, monthly rolling contract.
Key Responsibilities:
- Ensure the efficient day-to-day administration of the area of responsibility.
- Prepare files, ensuring they are ready when needed with up-to-date data/results.
- Manage the diary and email account of the area of responsibility.
- Prioritise issues and events as they arise and act as the first point of contact.
- Ensure deadlines are met and service levels maintained.
- Organise and attend meetings as required.
- Take minutes at meetings and prepare for timely circulation following the meeting.
- Support the preparation and issuing of office documentation (correspondence, reports, etc.) to the highest possible standard.
- Ensure that archives and records are accurate and readily available.
- Maintain confidentiality of documentation, records, etc.
- Maximise the use of technology in ensuring work is completed to a high standard.
- Liaise with staff and the public as appropriate to respond to queries and for the completion of assigned tasks.
- Liaison with respect to secretarial work associated with the Department.
- Undertake other such duties and responsibilities as may be assigned from time to time.
Essential Criteria:
- Dictaphone typing is essential.
- Previous switchboard operator experience is highly beneficial.
- Previous high-level clerical/administration experience supporting a busy department/team is required.
- Good IT skills are required.
- Excellent data processing and attention to detail skills are required.
- Excellent MS Office skills, particularly in Excel, are required.
- Planning, organising and diary management skills are required.
- Experience in the day-to-day operations of data in various formats is required.
- Experience working collaboratively with multiple internal and external stakeholders is required.
- The ability to work both independently and as part of a team is required.
- Comfortable working in demanding, fast-paced environments.
- Excellent customer service, organisation, and communication skills are required.
