Job Description

Unijobs on behalf of our public sector client are currently recruiting for the position of Medical Secretary in Loais. This is a Grade IV role. The working week will consist of 35 hours, Monday - Friday. The hourly rate of pay is €18.48. The successful candidate will be required to be Garda Vetted and provide FPC if neccessary. Temporary - Monthly Rolling Contract Principal Duties and Responsibilities: The post-holder will undertake secretarial, clerical and administrative duties which would involve office management and dictaphone typing, with previous switchboard operator experience highly beneficial. The duties attached to the post include, but are not confined to, the following: Ensure the efficient day-to-day administration of area of responsibility. Preparing files, ensuring files are ready when needed with up to date data/results. Managing the diary, email account of area of responsibility. Prioritising issues and events as they arise and acting as first point of contact. Ensure deadlines are met, and service levels maintained. Organise and attend meetings as required. Take minutes at meetings and prepare for timely circulation following meeting. Support the preparation and issuing of office documentation (correspondence, reports, etc.) to the highest possible standard to ensure quality and accuracy. Ensure that archives and records are accurate and readily available. Maintain confidentiality of documentation, records, etc. Maximise the use of technology in ensuring work is completed to a high standard. Liaising with staff and the public as appropriate to respond to queries and for the completion of assigned tasks. Liaison with respect to secretarial work associated with the Department. Undertaking of other such duties and responsibilities as may be assigned from time to time. Essential Criteria: Dictaphone typing is essential. Previous switchboard operator experience highly beneficial. Previous high-level clerical/administration experience supporting a busy department/team is required. Must have good IT skills Must have excellent data processing and attention to detail skills. Excellent MS Office skills, particularly in Excel. Must have planning, organising and diary management skills. Experience in the day-to-day operations of data in various formats. Experience working collaboratively with multiple internal and external stakeholders. Plan and organise work effectively. Address priority issues and ensure the operation runs efficiently and effectively. The ability to work both independently and as part of a team. Comfortable working in demanding, fast-paced environments Excellent customer service, organisation, and communication skills. This is an immediate requirement and selected candidates will be required to engage in a shortlisting process where further details of the role will be provided. Training will be provided for the successful candidate.
