HSE / NTPF Assistant Location: UPMC Kildare Hospital Job type: Fixed Term - 10 months Overview of role: Working closing with the HSE/NTPF Coordinator this role will be to co-ordinate the end to end of our HSE/NTPF referrals. This role will complement existing administration functions within the hospital and will ultimately result in greater patient satisfaction Primary Duties and Responsibilities: General Logging receipt of NTPF referrals, ensuring all external hospital referrals match order numbers issued by the NTPF to UPMC Kildare Hospital. Scanning all referrals to database and creating MRN in ISOFT and ensuring database is kept up to date at all times. Communicate with patients where necessary. Create and verify weekly reports to NTPF. Following up with public hospitals on any referrals that have been omitted and or any extra patient information that may be required. Monitoring of referrals to ensure all patients have a procedure date within the allotted timeframe. Gathering all post procedure correspondence, scan to database and match it with invoices and return to referring hospital. To efficiently manage the distribution and filing of patient's charts in the hospital on a daily basis through the hospital patient management system and by continuous liaison with the ward, pre-assessment nurses, scheduling team, accounts, and consultant's secretaries to ensure efficient chart management and distribution. Liaise with consultant secretaries, referring hospitals and other external agencies. To coordinate and issue medical discharge letters. Be responsible for the preparation and administration of daily clinics including booking appointments, recording outcomes and recording DNA's. Scheduling outpatient clinics and theatre appointments within the hospital. Be the point of contact for patient's on clinic days. Act as a liaison between clinical team and patients. Provide cover on the reception desk, delivering an excellent patient experience to all our patients and stakeholders both internally and externally. Provide cover for admissions ensuring the smooth running and admission of all patients attending the admissions, desk daily. To provide cover for medical records, efficiently manage the distribution and filing of patients' charts in the hospital on a daily basis through the hospital patient management system and by continuous liaison with the ward, pre-assessment nurses. Identify potential risks for all staff, patients and visitors and adhere to relevant incident reporting procedures. To observe a general duty of care for the health, safety and well-being of self, work colleagues, visitors and patients within the hospital, in addition to any specific risk management associated with this post. Professional / Education Contribute to service development through appropriate continuous education, research initiatives, keeping up to date with nursing literature, recent nursing research and new developments in nursing management, education and practice and attend staff study days as considered appropriate. Provide support/advice to those engaging in continuous professional development in his/her area of responsibility Participate in the identification, development and delivery of induction, education, training and development programmes for nursing and non-nursing staff. Participate in in-service training, orientation programmes and appraisals of all nursing staff. Also, participate in nurse training programmes and any other programmes pertaining to future development in the hospital. Provide support supervision and professional development of appropriate staff. Engage in performance review processes including personal development planning e.g., by setting own and staff objectives and providing and receiving feedback. Qualifications & Experience: Eligible Criteria: Must have a minimum of 1 years experience in a busy medical environment. Have excellent administrative and organisational skills. Have excellent interpersonal skills and the ability to communicate effectively with management, consultant staff, staff, patients, public and outside agencies. The ability to work in a fast-paced customer-based environment. An understanding of commitment to patient confidentiality. Ability to work effectively within a multidisciplinary team. Ability to work as part of team and own initiative. Time management skills. Strong IT Skills. Intermediate to advanced excel skills. Desirable: Experience in an acute hospital setting.
