Job Description

WElink Group is looking for an International Business Accounts Administrator that will be responsible for handling the financial and administrative aspects of our company international business activities, including demands related to our office in Portugal.

Responsibilities:

  • Posting bank transactions across all ledgers
  • Raising Sales Ledger invoices in line with contracts and distributing in line with company procedures and customer specific requirements
  • Reconciling supplier statements and liaising with suppliers regarding queries/issues
  • Filling KYC forms in Portuguese
  • Calculating and processing prepayments
  • Raising and distributing purchase orders in line with company procedure
  • Matching supplier invoices to purchase orders/contracts
  • Compiling key pieces of information related to registered suppliers, financial performance, producing reports and presentations for Senior Management
  • Translating written documents and spoken statements from English to Portuguese
  • Writing instruction manuals, user guides, technical and financial reports in Portuguese for internal and external stakeholders
  • Storing information by filling in forms, writing notes and filing records
  • Processing supplier invoices
  • Preparing supplier payment runs to be sent to Financial Manager for approval for payment
  • Bank reconciliations
  • Processing inter-company transactions
  • Reconciling inter-company accounts
  • Working with our external audit firm to produce financial information required to make tax and statutory filings (e.g. VAT and CIS)
  • Collating and filing of financial and administrative paperwork
  • Assisting with producing cash flow statements, monthly management accounts, and preparing custom reports when required
  • General finance administrative work
  • Good knowledge of Sage Line 50
  • Running workshops, seminars, conferences, and the media to present results of research activity or to express professional views
  • Identifying problems concerned with business strategy, policy, organisation, procedures, methods, and markets
  • Assessing the functions, objectives, and requirements of the organisation seeking advice

Minimum Requirements:

  • A minimum of 2 years of experience handling administrative and finance activities
  • Ability to write and communicate in Portuguese
  • Ability to work to tight daily deadlines
  • Good organisational skills and the ability to carry out more than one task at a time
  • Strong attention to detail, and a good understanding of the need for numerical accuracy
  • Provide ad-hoc general administrative support to any area of the organisation when directed

We are located at:

Hyde Building, The Park. Carrickmines D18R9P2

39 hours per week. €34,000 per year.
