Job Description

This is a 12-month contract role for a Medical Project Management Officer in a Dublin-based pharma company with a hybrid working model.

As a Medical Project Management Officer, you will be responsible for planning, organizing, and implementing diverse projects for the Medical Team, supporting the Head of Medical Affairs, and streamlining activities to achieve the team's vision of improving patient quality of life.

Key Responsibilities

  • Project Management:
    • Manage, coordinate, follow up, and report on projects for the Medical Team, including company-initiated Medical Education events, advisory boards, and consultancies.
    • Coordinate congresses related to medical sponsorships and activities, such as symposia or company-sponsored Medical Education events.
    • Coordinate project plans, organize regular team updates, identify and flag plan deviations and risks.
    • Internal event management: point of contact for internal and external meeting arrangements.
  • Material Management Coordination:
    • Manage the material review process from inception to sign off.
    • Upload medical affairs slide decks into Veeva (materials approval system).
    • Manage reference packs for materials, highlighting relevant references.
    • Maintain and archive medical materials.
    • Collaborate with marketing colleagues to maintain an active list of materials containing abbreviated prescribing information (API).
    • Be the Veeva (materials approval system) local champion.
  • Medical Team Responsibilities:
    • Organize and document Medical activities, such as team meetings and trainings.
    • Set up Medical onboarding programs, including trainings and scheduling introductory meetings.
  • Medical Information Responsibilities:
    • Register inquiries in MIS (Medical Information System).
    • Respond to Medical information queries based on available knowledge articles or SmPC.
    • Triage queries requiring escalation to relevant Medical Affairs Point of Contact.
  • Medical Affairs Assistant:
    • Assist the Head of Medical Affairs in planning and delivering medical affairs meetings.
    • Support travel organization when necessary.
  • Project Lead for Office-Based Medical Activities:
    • Coordinate, present, and follow up on external sponsorship requests in the relevant Brand Team Meeting.
    • Coordinate weekly Project Medical Meeting and responsible for Team Meeting Minutes.
    • Point of contact for national and international company Congress supported by the medical team.
  • Contract, Invoicing, and Tender Management:
    • Backup support for General Assistant for PR/PO creation.
    • Update budget spreadsheet to facilitate reconciliation of spending.
    • Validate TOVs for HCO/HCPs once TOV report is finalized.
    • Support General Assistant with tender process management as part of procurement policy.

Requirements

  • Health science or Business-related degree (Master's preferred).
  • Project management experience.
  • At least 2 years' experience in the pharmaceutical industry.
  • Strong accountability with demonstrated ability to work in cross-functional teams and autonomously.
  • Hands-on proactive approach and accountability.
  • Analytical mindset and data-driven problem solver with the initiative to proactively identify improvement opportunities.
  • Excellent written and verbal communication skills in English; additional languages are an advantage.
  • Well-organized and methodical, prepared to be 'hands on' to deliver project success.
  • Team player, engaging, and enthusiastic.
