Job Description

Office & Project Administrator Location: Hybrid - Remote working & Dublin office (couple days a week) Contract Length: 6 month contract with the opportunity of permanent employment in 2025 Start Date: ASAP The role: Office & Project Administrator required for our industry leading renewables company. The Administrator will be responsible for managing office related administrative tasks and ensuring smooth office operations, as well as provide ad hoc support to the Project Managers and Development team. This role requires attention to detail, excellent communication skills, and the ability to work effectively in a dynamic environment. Key accountablities: Support Project Managers & the Development team generally with various administrative tasks as necessary. Coordinate / manage compliance with and updating of inhouse project management tools and interaction with the project management office . Coordinate team meetings and events. Facilitate training plans on various topics including first aid, fire safety, and mental health awareness. Provide support to the team with IT-related tasks and troubleshoot technical issues. Act as the primary point of contact for internal and external inquiries. Oversee the generic email inbox for external inquiries and forward them accordingly when necessary. Facilitate landowner anniversary payments by maintaining accurate records of landowner banking information. Maintain various excel trackers such as landowner detail file and legal agreements. Manage intranet folder structure and physical safe for storing documents. Handle incoming and outgoing mail, packages, and deliveries. Procure and manage office supplies including stationary, kitchen items, and other necessities. Coordinate maintenance of office furniture, workstations, IT hardware, and office interior. Oversee contracts for office services such as plant rental, cleaning, and utilities. Ensure compliance with H&S regulations by ensuring the team/office has the necessary equipment and resources. Business Knowledge and Experience Bachelor's degree in Business Administration, Office Management, or a related field preferred, but not essential. Previous experience in office coordination, administration, or similar roles preferred, but not essential. Functional / Technical Skills Proficiency in MS Office Suite.
