Job Description

Our client is hiring an Office Assistant for a busy office. We are looking for new Talent to join our growing team. You will become part of a talented and diverse community of employees whose mission and passion are to promote and support the development of Irish Film, Television Drama, Animation, Documentary, Visual Effects and Gaming Industries.

Full-time

Based in Dublin 2

35 hours per week

3 month contract

€19.80 per hour - Point 1 salary scale

Key Responsibilities

· Work with the Head of Skills and Professional Development and all members of the Skills team to support their work and meet the objectives of the team.

· Specifically, providing general administrative, logistical and organisational support across the Skills team across a range of areas, including, but not limited to the following:

Front of House

· Provide a welcoming, helpful, responsive front of house service.

· Specifically, managing general and programme queries via phone/email, welcoming visitors to the office and providing occasional cover for reception.

Finance

· Raising POs, ensuring accuracy and sending to Head of Skills to sign-off.

· Signing off on invoices and sending to Finance for payment.

· Supporting team on use of new financial systems and processes (with the Finance Team.)

Data Collection & Reporting

· Collating and reviewing data across a range of internal and external sources to sources to prepare reports.

· Specifically, collating data across the team, National Talent Academies and others to update on targets, inform reports to the Board, address queries which are raised, filing and sharing reports as appropriate as well as improving templates and processes.

Meeting Coordination

· Support key Skills Sub-Committee and organisational meetings throughout the year.

· Specifically, organisation and coordinating of key meetings from checking availability of participants and scheduling meetings, sharing of agenda, minute keeping, completion and circulation of minutes, booking rooms and catering, liaising with the chair from start to finish.

Required attributes

· Bachelor's degree and/or relevant experience.

· Strong analytical skills: Able to analyse information and/or research a topic and develop conclusions/recommendations.

· Strong process orientation: Able to improve current processes and develop more systematic approaches to our work.

· Strong planning and organisational skills.

· Strong IT Skills (MS Office, MS Teams, willing to learn new systems and to liaise with technical contractors and developers).

· Good team player - able to work well with others to achieve a result.

· Strong interpersonal and/or customer service skills.

· Communicates well in-person and on paper.

· Strong attention to detail.

· Able to complete work on time to a high standard.

Preferable attributes:

· Experience in an administrative/office manager type role

· An interest in training, learning, skills and people development.
