Are you the right person for the job? Minimum of 2 years in an office management role, with a background in staff management Excellent communication skills are a must, as you'll be in constant contact with colleagues throughout the firm You will be driven, self-motivated, and eager to take on new challenges Highly developed organisational skills are essential, along with the ability to complete tasks within agreed timeframes Committed to excellence and maintaining the highest professional standards Working knowledge of Microsoft Office and the capacity to adapt to the Case Management System (Keyhouse) You'll be handling sensitive information, so absolute discretion and trustworthiness are paramount What will your role look like? Facilities Management: Ensure the office facilities are well-maintained and comply with Health & Safety regulations Manage office equipment and liaise with service providers Purchasing: Order office supplies and maintain purchase agreements with external suppliers Staff Resourcing: Allocate work to legal secretaries and assist in staff sourcing when necessary Human Resources: Supervise and recruit secretarial and administrative staff Conduct training sessions and oversee the induction process for new hires Maintain records of staff sickness and holidays Information Technology: Coordinate with external providers to ensure our IT infrastructure meets the firm's needs Implement and enforce IT usage policies Communications - Internal & External: Facilitate efficient communication within the practice and manage incoming/outgoing post Maintain the firm’s online presence and manage the performance of their Case Management System Ensure document security, particularly for sensitive information like wills and deeds What can you expect in return?
