Job Description

Project Co-Ordinator required to design and coordinate projects from start to finish, ensuring smooth delivery and high-quality results.

The Project Co-Ordinator is responsible for the design and coordination of their relevant project and Works orders throughout the project cycle from design to completion.

Key Responsibilities:

  • Design and coordinate projects to ensure timely and cost-effective delivery.
  • Liaise with architects, customers, and other stakeholders to ensure all details are captured and to create good working relationships.
  • Organise material schedules, MRs, RFI, and drawing registers to ensure efficient project management.
  • Responsible for obtaining quotes for subcontractor packages and ensuring all costs are approved by Operations Manager.
  • Flag long lead items to Purchasing Manager early in the project to avoid delays.
  • Issue variations, change orders, or additional costs to clients, ensuring all costs are approved by Operations Manager or MD.
  • Liaise with fitting managers to ensure accurate dimensions and red line dimensions are captured.
  • Ensure all information is approved, materials are on hand, and costs are approved before sending work to the floor for production.
  • Ensure the folder pack for production contains all necessary information and the workshop manager is fully briefed.
  • Develop and maintain professional working relationships with workshop managers, personnel, and fitting foremen to ensure efficient delivery of works.
  • Take ownership of any mistakes or reworks to minimise impact on the floor.
  • Align production dates with Operations Manager's draft program to avoid changes and ensure efficient delivery.
  • Responsible for updating the initial project program and keeping dates on the General tab updated.
  • Issue weekly project reports to the project team, including outstanding items and actions required.
  • Avoid last-minute material requests and orders, ensuring all materials are ordered in advance.
  • Keep Operations Manager informed of all external project correspondence, including costs, programs, issues, and delays.
  • Set and achieve weekly targets with Operations Manager.
  • Responsible for works order sign-off sheets to ensure all components are on hand for fitters to avoid reworks and missing items.
  • Ensure processes, H&S, housekeeping, and quality are all up to required standard.
  • Responsible for all project documentation, including ancillary certificates, RAMS, and O&M.
  • Improve functionality and processes, such as the imos Library.
  • Report to Operations Manager with any issues or decisions that cannot be actioned or agreed.

Requirements:

  • Excellent communication and interpersonal skills.
  • Effective and professional email writing and communication skills.
  • Proficient in CAD and computers.
  • Professional and mannerly, with excellent customer service skills.
  • Good project management skills, including time management and prioritization of tasks.
  • Ensure information delegated or passed on is understood correctly by the receiver.
  • Data processing and ensuring information in our CRM system is correct, clean, and up to date.
  • Organisation skills.
  • Ability to work under pressure.
  • Critical thinking and problem-solving skills.
  • Ability to take directions and get results.
  • Management and following of set processes to be always followed and in line.
  • Flexible with work hours to achieve targets.
