Typical clients include utilities, large energy users, data centres and multi-asset energy parks both in Ireland and internationally. Summary The Project Co-Ordinator will serve a critical role in the foundational support necessary for a high performing team working on innovative solutions within the energy sector on best-in-class technologies which enhance resiliency and sustainability. You will have the opportunity to work on a wide range of projects relating to microgrid development, distributed generation control systems, battery energy storage systems (BESS), networking equipment and system control architecture. Your typical duties will include the scheduling and attendance in a wide variety of meetings, managing project documentation, tracking project progress, facilitating communication between internal team members as well as inter-departments, and assisting Project Managers with various administrative duties. You will play a crucial role in ensuring that projects and programmes maintain direction, and that all stakeholders are informed and aligned throughout the project lifecycle. This role requires a combination of project management skills, IT proficiency, and a commitment to excellence in program delivery. Role Requirements The Project Coordinator will work closely with the Senior Project Manager in supporting and leading the following activities; Project Planning and Coordination: Collaborate with the PM and Engineering teams to develop and maintain project plans for projects. Collaborate with internal/external stakeholders to define project objectives, scope, and deliverables. Manage the day-to-day execution and ensure key milestones, tasks, resource requirements and dependencies are identified and tracked. Monitor project progress, identify potential bottlenecks, and proactively address any issues that may arise. Reporting and Documentation: Prepare and maintain accurate project documentation, including action logs, deliverable lists and schedules, RFI logs, project plans and schedules. Assist in the preparation of commercial proposals and technical submittal packages. Management of Purchase Requisition Process, RFI Process and RFP Process. Meeting Coordination: Responsible for setting up meeting invites, setting up and coordinating pack preparation while ensuring all necessary participants are invited, and agendas and materials are prepared in advance. Take meeting minutes and follow up on action items. Task Management: Help PM monitor project progress and team members performance. Assign tasks to team members and help them understand whats expected from them in terms of project milestones and deliverables. Track all actions to ensure they are closed out and follow up with team members in an effective way to track action progress. Data Management: Internal MS SharePoint access and content audits. Maintain clear and accurate documents and records, ensuring all project documentation is stored correctly. Assist with maintaining accurate and up-to-date drawings folders and registers. Management of external Project Management Platform such as Procore or CxAlloy. Efficiency and Process Improvement: Identify opportunities for streamlining project workflows and improving efficiency in website project delivery. Collaborate with the PM to develop and maintain project management templates, tools, and best practices. Assist management in the preparation of operational performance and strategic plans and programs. Stakeholder Communication: Be the liaison between the project team and project clients throughout the project life cycle, acting as a central point of contact. Effectively communicate project updates, changes, and requirements to ensure alignment and engagement from all parties. Communicate program status, updates, and key milestones to stakeholders through regular meetings, reports, presentations Compliance & Management Systems: Support the PM in building and maintaining management systems within the organisation. Liaise with H&S Advisor to ensure H&S compliance and ensure that project staff adhere to safety regulations. Assist with developing site-specific risk assessments and method statements and update during project if required. Ad hoc duties; Support operations and general office requirements such as ordering project supplies and parts. Liaise with suppliers on delivery of materials and services. MinimumQualifications 1-3 years experience as in a coordination role in a fast-paced commercial/industrial/construction setting Bachelors degree in Project Management, Engineering or a Technical discipline. A Masters degree in Project Management or Construction Management & relevant work experience would be an advantage. Experience across all stages of the project lifecycle. An understanding of mechanical and electrical systems, as well as project management methodologies would be an advantage. Excellent IT skills particularly MS Suite and Project Planning software. Desirable Experience of Energy sector Keen interest in sustainable energy and power solutions Electrical engineering/technology background would be an advantage.
