Legal Receptionist | 30-35K | Dublin
This role is in a fast passed environment with a busy reception which will involve carrying out dictation, scanning post and sending post on behalf of your direct reports, greeting/answering clients.
A high attention to detail is needed as well as organisation skills. This roles in fully on-site from 9-5:30 pm.
Front Desk Management:- Greet clients and visitors in a professional and courteous manner.
- Answer, screen, and direct phone calls to the appropriate person or department.
- Manage the office calendar and schedule appointments.
- Carrying out dictation
Client Interaction:- Assist clients with inquiries and provide information about the firm's services.
- Ensure clients are comfortable while waiting for their appointments.
- Always maintain confidentiality of client information.
Administrative Support:- Receive, sort, and distribute incoming mail and packages.
- Prepare and send outgoing mail, including legal documents.
- Maintain a tidy and organized reception area.
Document Management:- Assist with filing, scanning, and photocopying legal documents.
- Ensure all documents are properly filed and stored according to office protocols.
- Help with the preparation and formatting of legal documents and correspondence.
Office Supplies and Equipment:- Monitor and order office supplies to ensure the front desk is wellstocked.
- Ensure office equipment (e.g., printers, copiers) is functioning properly and arrange for repairs as needed.
Team Support:- Provide administrative support to lawyers and paralegals as needed.
- Assist with special projects and tasks as assigned by the office manager or legal team.
- Coordinate with other administrative staff to ensure smooth office operations.
