Records Management Specialist

This position requires a detail-oriented individual to manage and maintain accurate and compliant records in an office setting.

Job Responsibilities

  • Document Processing: Process incoming documents, scanning, indexing, and filing both paper and electronic records.
  • Controlled Document Management: Activate and close controlled documents within computerized systems, ensuring accuracy and compliance.
  • Issue Resolution: Liaise with operations to address and resolve issues during records management activities.
  • Records Retention Compliance: Collaborate with Quality Assurance to ensure adherence to records retention periods as specified by regulations and internal policies.
  • Document Maintenance: Maintain and update controlled documents related to laboratory reporting, retention, and disposition.
  • Archive Room Management: Manage the archive room, ensuring records are stored securely and can be retrieved efficiently.
  • QA Support: Assist with deliverables related to Quality Assurance, contributing to compliance and quality objectives.
  • Special Projects: Work independently on special projects, demonstrating initiative and task management skills.

Requirements

  • Secondary school diploma or equivalent and relevant formal academic/vocational qualification.
  • Previous experience providing knowledge, skills, and abilities to perform the job (comparable to at least 2 years).
  • Sophisticated communication and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Advanced computer skills.
  • Excellent English and grammar skills.

Working Conditions

Work is performed in an office with exposure to electrical office equipment. Travel may be required for special projects and supervisor needs.

Physical Requirements

  • Frequently stationary for 4-6 hours per day.
  • Repetitive hand movement and occasional mobility required.
  • Lifting of 25 lb. boxes of documents for filing, relocation, or storage.
