Job Description

Sales Order Administrator (West Cork) Located 25 minutes West of Cork City our client is an established manufacturing business. The Sales Order processing assistant is responsible for ensuring the smooth handling of customer orders from receipt to dispatch, maintaining communication with clients and internal departments, and ensuring accuracy and timeliness of processing. The role involves managing high volumes of data entry, coordinating with production teams, and resolving order-related queries in a fast-paced manufacturing setting. Key Responsibilities: Accurately input and process customer orders into the order management system. Ensure all order details (quantities, product specifications, delivery dates) are correct. Communicate order acknowledgments and confirmations to customers. Regularly interact with production and warehouse teams on the shop floor. Act as a point of contact for customer order inquiries and provide updates on order status. Handle customer complaints, resolve issues related to delivery, order errors, or delays. Liaise with production and dispatch teams to ensure order fulfilment meets deadlines. Monitor inventory levels and production schedules to confirm availability for orders. Ensure all orders are documented in compliance with company standards. Generate accurate sales reports and update order status reports for management. Identify areas of inefficiency in the order process and recommend improvements. Participate in process improvement projects to enhance customer satisfaction. Help to improve and streamline the order processing operation. Work closely with finance for invoice generation and payment follow-ups. Collaborate with supply chain/ procurement teams to ensure raw material availability for production. Key Skills & Competencies: Ensures accuracy in order entry, paperwork, and reporting. Strong verbal and written communication skills to liaise with customers and internal teams. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Capable of identifying and resolving order-related issues efficiently. Proficient in Microsoft Office Suite, Excel, and experience with ERP or order management systems. Committed to delivering a high level of customer service and satisfaction. Qualifications & Experience: 2 to 3 plus years of experience in a sales support, accounts or order processing role. Experience with relevant systems is highly desirable. Knowledge of manufacturing processes and supply chain operations is also advantageous.
