Seeking an experienced Intellectual Property Secretary/ Administrator to provide administrative support to our Trade Mark and Patent Departments.

Our client is a leading firm in the Intellectual Property sector, seeking a highly organized and detail-oriented individual to join their team.

Job Description

The successful candidate will provide secretarial and administrative support to our IP attorneys, including assistance with case management and patent and trade mark formalities.

  • Providing secretarial and administrative support to our IP attorneys.
  • Assisting with case management and patent and trade mark formalities.
  • Typing and preparing patent specifications.
  • Preparing and filing of patent and design applications online.
  • Preparing and filing of trade mark applications online.
  • Preparing reports for clients and updating our records management system.
  • Instructing foreign associates on foreign filing programs.
  • Preparation of correspondence, legal documents and invoices to clients.
  • Maintaining and organising electronic and physical file systems and diary management.
  • Answering the telephone and passing on telephone messages accurately and promptly.

Requirements

  • 2+ years of Secretarial / Administrative experience in a professional office environment.
  • Be highly organized, have excellent attention to detail, be practical and solution-oriented and be able to work effectively both independently, and as part of a team.
  • Very strong Microsoft Office skills, especially in Word, Excel and Power Point.
  • Experience in Adobe Acrobat DC or Nitro PDF would be an advantage.
  • Experience in any IP case management system would be highly regarded, particularly Pro Delta (Progressor) or similar.
