Secretary / Administrator Intellectual Property €30 - 35k DOE Citywest Permanent full time currently working from the office 4-5 days per week Monday Friday / 9 am to 5 pm *** Please note we are not considering candidates planning to or doing FE1's - This is Secretarial / Administrative job *** Our client is seeking to hire an Intellectual Property Secretary/ Administrator for our Trade Mark and Patent Departments, working closely with our IP Attorneys and administrators at all levels to offer full secretarial/administrative support to the teams. This role will be supporting two teams. Experience in Intellectual Property would be greatly preferred but not essential as training will be provided. However, a minimum of two years secretarial experience in a professional office is required. This is an extremely busy role where accuracy and attention to detail and deadlines are essential. Skills testing will be a part of the recruitment process. Duties & Responsibilities: - The IP Administrator role will include, but is not limited to the following duties: - Providing secretarial and administrative support to our IP attorneys. This will include assistance with case management and patent and trade mark formalities, in order to ensure that patent and trade mark applications and official actions are responded to within the statutory deadlines. Typing and preparing patent specifications Preparing and filing of patent and design applications online at the Intellectual Property Office of Ireland, UK Intellectual Property Office, European Patent Office and the World Intellectual Property Organization. Preparing and filing of trade mark applications online at the Intellectual Property Office of Ireland, the UK Intellectual Property Office and the EU Intellectual Property Office. Preparing reports for clients and updating our records management system. Instructing foreign associates on foreign filing programs. Preparation of correspondence, legal documents and invoices to clients. Maintaining and organising electronic and physical file systems and diary management. Answering the telephone and passing on telephone messages accurately and promptly. Skills & Experience:- 2 + years of Secretarial / Administrative experience in a professional office environment essential Be highly organised, have excellent attention to detail, be practical and solution-oriented and be able to work effectively both independently, and as part of a team. Very strong Microsoft Office skills are required especially in Word with Excel and PowerPoint. Experience also in Adobe Acrobat DC or Nitro PDF would be an advantage. Experience in any IP case management system would be highly regarded but not essential, particularly Pro Delta (Progressor) or similar.
